Meeting Minutes

March 12, 2012

The SRRC Board Meeting was held at 5:30pm at United Community Bank conference room.

February meeting minutes were reviewed. Treasurer Rose Rebbe made a motion to accept the minutes and Director of Technical Programs Anne Baker seconded. The motion passed unanimously.

Madalyn  reported total SRRC membership at 550 for 2012. The Board further discussed developing a discount program with local businesses as an added benefit of being an SRRC member. A letter has been drafted and a finalized list of potential participants is being compiled. As a reminder, the Foottrails newsletter that is mailed out at the end of March is the final newsletter if membership is not renewed for 2012.

Treasurer Rose Rebbe reported the balance of SRRC operating accounts was $82,963.46 as of March 11, 2012. The Lincoln Memorial account had $26,000.

As part of old business, Brian Reardon gave an update on the Lincoln Presidential Half Marathon to be held on April 7th. Registration was 14% ahead of the same time in 2011. Anticipated participation is 1,500. As reported last month, Lori is coordinating the volunteers and a second round of emails was set to go out to elicit volunteers. Track teams from local high schools will be volunteering on race day. Lastly regarding LPHM, medals had been ordered. The board also reviewed the status of leadership for the remaining SRRC races. Lead directors are still needed for Women’s Distance Festival. Lance Cull will return as director for the State Fair Parade run to be held on August 9th.  Brian and David have decided to take the committee approach again this year for the Frostbite Festival to be held on December 2nd.

At last month’s meeting, Derek Dexheimer had attended to discuss the status of Abe’s Amble and a potential fee for using the Illinois State Fairgrounds for Abe’s Army and Abe’s Amble. Derek returned to administrators at the fairgrounds with the club’s offer of $2,000. No immediate agreement was reached. Brian will follow up with both Derek and contact the fairgrounds administrators to continue negotiations. The club expects to incur increased fees from the City of Springfield Police Department for traffic control and would like to keep overall increased costs to a minimum. Administrators initially requested $5 per runner which the board estimated would come to roughly $5,000. As the club has not paid a fee in previous years, the board is unsure of what this fee would include. This matter will be tabled and discussed after more information had been obtained.

New business discussed by the Board included direction of the Abe’s Army training program. Bill Stokes and David Drennan have agreed to take on the role of co-directors. They have met with former program director Diana Nevvitt regarding program notes and general program information.

Race Director Liaison Bryan Glass met with Mark Vance who previously held the position. The club’s policy on equipment rental was reviewed. The organization renting the equipment will pay the fee and said fee will be returned upon return of equipment in proper working order. The rental fee does include advertising on

Director of Special Programs, Brad Viar is working on a social to take place in early May. Details will be made available as they become available.

2012 National Bike to Work Week will take place May 16-20. Brian made a motion that the SRRC pay $100 to sponsor this event as we had in years past. The $100 includes acknowledgement on fliers and bus boards. Bryan seconded and the motion passed unanimously.

Rose made a motion to close the meeting at 6:40. Bryan seconded the motion and it passed unanimously.
