SRRC October Meeting Minutes
October 8, 2002

Present:  Tim Butler, Ronda Schappaugh, Holly Dahlquist, Catherine O’Connor, Rich Ginter, Jim Fay, Cecil Withrow, and Katie McAfee
Absent:  Steve Snyder and Laura Ferris

The meeting was called to order at 5:30 PM.

Minutes from the September Board Meeting were reviewed.  No corrections were made.  Rich made a motion for approval.  Motion was seconded per Jim.  Minutes unanimously approved.

Jim presented the treasurer’s report.  The balance as of 10/08/02 was $27,982.14.  Rich made a motion to approve and Holly seconded it.  Treasurer’s report was unanimously approved.

President’s Report:

The Art Race 5K run was held on 09/14/02.  This event had 145 finishers.  The Art Association is looking into changing the date and course of the run for next year.  They would like to coincide the event with their annual Art Fair.  The date may be moved to the 3rd week of September with the course starting and finishing at the Art Association, which is located on the North side of town.

The Alzheimer’s 5K run was held on 10/05/02.  The event was held at the Lost Bridge Trail and had 56 finishers.

The Decatur Shoreline 5K/15K was held on 09/28/02.  This event was well represented by the Springfield Road Runners.

A thank you was given to Rich in regards to all his dedication and hard work with the success of the Marathon Training Group.

Board Member Reports:

Katie provided a recap of the SRRC merchandise apparel purchase.  A future reorder date will be determined at a later time.

Ronda requested that the November/December newsletter be kept separate due to the volume of information that is available.  The newsletter usually combines November/December and January/February.  The Board agreed in keeping the November and December newsletters separate.  The January/February issue will be determined at a later date.

Catherine O’Connor has stepped in with assisting Mary Beth Stephens in the run for Excellence 5 Mile race.

Old Business:

A Race Director’s meeting is being held on October 30, 2002 at 7 PM at the Springfield Public Library.  This meeting will be for all current Race Directors and those interested in directing a 2003 SRRC race. Each Director will have to have to submit a proposal in November and the Board will then vote on the 2003 Race Series at the December Board Meeting.  The SRRC race calendar will be completed by the Annual Awards Banquet/Monster Mash in February.

The Board reviewed and discussed the newly drafted SRRC Race Standards and Race Management Fees.  Rich made a motion that the Board accept these policies.  Katie seconded.  The policies were unanimously approved.

The new SRRC Race Guidelines/Standards and Management Fees will be distributed to all Race Directors and will be in place for all 2003 SRRC races.

A Points Committee will be developed to review the 2003 SRRC Race Series.

Five-year age group awards will be addressed with each Race Director.  Individual Race Directors will need to look at the individual race numbers to determine the appropriate age group awards.  The ages that are in question are:  14 and under, 19 and under, and 60 and over.

A digital camera was purchased in the amount of $472.93.  The camera will be available for all SRRC functions.

New Business/Discussion:

The Annual SRRC Awards Banquet/Monster Mash has been scheduled for 02/02/03 at 1 PM.  A location is being sought.  Further information will be provided at the November Board Meeting.

The 2002 Wednesday Night Track Workout has come to an end.  At the request of some participants, the group will continue to meet at 5:30 PM on Tuesday at the Washington Park Picnic Pavilion.  Group runs and hills will be done.

The Cold Duck/Thanksgiving Day Fun Run and New Year’s Day Fun Run will again take place at the Picnic Shelter in Washington Park.

The SRRC, in conjunction with the Springfield Ski Club, will be hosting a 2003 weekend ski trip.  The date is January 17-19, 2003 and there are only 44 seats available.  This event will be noted in the upcoming newsletter.

The next Board meeting will be held on Tuesday, November 12, 2002 at 5:30 PM.
