September 9, 2003Present: Tim Butler, Jim Fay, Catherine O’Connor, Rich Ginter, and Katie McAfee, Laura Ferris
Absent: Secretary, Holly Dahlquist (C`therine substituting as note taker), Kenny Guard and Rhonda Schappaugh.
The meeting was called to order at 5:33PM.
Minutes from the August Board meeting were reviewed. No corrections were made. Jim made a motion for approval. Motion was seconded per Rich. Minutes unanimously approved.
Jim presented the Treasurer’s report. The balance as of 9/9/03 was $48,256.72 – with checks outstanding (as yet to be cashed) of $12,376.03. Rich made a motion to approve the Treasurer’s report and Laura seconded it. Treasurer’s report was unanimously approved.
President’s Report:
• Eikeden Team has been set up. Bill Owens will be the coach, and along with 7 runners and a rep from the city they will be off to Japan in October.
• SRRC had a good showing Havana at the PPR. Ann Spellman was the top female runner overall.
• Art run will be coming up on 9/13. The course will begin at the Art Assn, and go west to Douglas Park. The City has asked that a special events license be purchased for $100.
• And on that topic, there are questions about how the Special Events licensure works. It seems to mean that we will need to purchase a SE license for all 7 SRRC races that require an obstruction permit – and that the City will now charge between $950 and $1,200 for the use of barricades AND – that they may charge $32 per man hour for the use of City police officers, during races! WOW. There are 12 intersections at the Art Run. Tim brought up the idea that perhaps SRRC members who are state cops could volunteer to provide this service, but that there would be liability issues as well. We hope to have answers and will address this issue at October’s Race Director’s meeting. Tim is researching the concept of police service fees and city permits with other area clubs. Also outstanding is the question of whether the SRRC can purchase one SE permit and use it all year vs. having to purchase one for each event. City officials seem to also be unsure of the answers to these questions.

Business Both Old and New:
• Catherine shared her experience of meeting with the Rochester Village board to get permission to use the street entrance to the Lost Bridge Trail for the October 25th Race. After requesting 30 minutes of police protection, the police chief explained that he would have to bill for 2 hours of police service. Jim Fay said that this sounded reasonable, depending on the shifts, etc.
• Saturday is (was) the Lanphier Invitational X country meet. The Club gave John Hartnett permission to use the clock for this event. On October 18, SHG will host the Central State 8 Varsity Girls and Boys Conference Invitational at Lincoln Park, and they have asked Rich Ginter to help keep score. Tim suggested that these are both good outreach opportunities for the SRRC.
• Again with the discussion of the Points Series. Katie is in the midst of taking a poll on a new concept in points series rules. She is seeking input on how the points series should work. She will be including a survey in the next newsletter to solicit opinions on ways to revise the points series rules. Go Katie!
• Tim is checking into locations for the upcoming Monster Mash. The new Fire Fighter’s Lodge at the Lake is under consideration. Jim is checking on the Trooper’s Lodge. Possible dates are January 24th or 25th (probably Sunday afternoon)
The next Board Meeting will be held on the second Tuesday, October 14, 2003 at 5:30 PM.
